What it is: Manage Roles

Description
This activity ensures the project is effectively staffed and  the project team is motivated to do the assigned work.  Role management activities include:

  • Building and managing (leading) the entire team
  • Developing team member skills to enhance performance
  • Adjusting staff to meet changing situations

Rationale/Purpose
A team can make or break the project.  Managing project roles ensures people involved in the project are used in the most effective way.  This includes all project stakeholders, sponsors, customers and others identified in the project charter.

Create an environment that permits team members to excel

  • Build team identity.
  • Advocate for team members
  • Lead by example
  • Conduct team sessions to improve communications and facilitate identifying and resolving issues.
  • Organize team-building activities.
  • Don’t take things too seriously – some fun is OK
  • Provide reward and recognition systems.

Assume the role of a coach by providing feedback and helping to train team members

  • Identify the training activities needed to improve team member skills.
  • Secure appropriate training.
  • Provide feedback and appraise team performance

Set clear goals and ensure accountability and ownership when delegating responsibilities

Continually monitor and evaluate team performance and plan for staff changes

Manage changes in project staffing

  • Make the business case with sponsor to obtain or release project staff.
  • Obtain required staff or release unnecessary staff.

  • Update the project schedule and budget.

Caution:  Adding staff to a project is also a risk to the project. It takes time to absorb the new staff and requires additional management time.
